RevnIQ is committed to protecting your personal data. This policy explains what we collect, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.

Who we are

RevnIQ is a UK-based software company. Our platform helps businesses find and win public sector contracts by surfacing relevant tender opportunities and providing tools to respond to them more effectively.

What we collect

We collect information in three ways:

Information you provide

  • Account registration details — name, work email address, organisation name, and password
  • Billing information — processed securely via our payment provider; we do not store card details
  • Communication — anything you send us via email, demo requests, or support tickets
  • Platform activity — saved searches, bid pipeline data, and preferences you configure

Information collected automatically

  • Usage data — pages visited, features used, tenders viewed, and session duration
  • Device and browser information — IP address, browser type, operating system
  • Performance and error logs — to diagnose and fix technical issues

Information from third parties

  • Public tender data from government portals (Find a Tender Service, Contracts Finder, and similar sources)
  • Data from tools you choose to connect to RevnIQ, such as Google Workspace or CRM integrations

How we use your data

We use your data to:

  • Provide, maintain, and improve the RevnIQ platform
  • Personalise tender recommendations and AI-generated insights to your business
  • Process subscription payments and manage your account
  • Send you service communications — account alerts, product updates, and support responses
  • Send marketing communications where you have consented (you can opt out at any time)
  • Detect, investigate, and prevent fraudulent or abusive activity
  • Comply with legal obligations

Our lawful bases for processing are: contract performance (delivering the service you subscribed to), legitimate interests (improving the product and preventing abuse), consent (marketing), and legal obligation (regulatory compliance).

Sharing your data

We do not sell your personal data. We share it only in the following limited circumstances:

  • Service providers — trusted third-party suppliers who process data on our behalf (hosting, payments, analytics, email delivery). They are bound by data processing agreements and may not use your data for any other purpose.
  • Legal requirements — if required by law, court order, or regulatory authority.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your data may transfer to the new entity, who will remain bound by this policy.

AI and your data

RevnIQ uses AI to power features such as tender matching, relevance scoring, and bid assistance. We want to be transparent about how your data interacts with these systems:

  • Your data is never used to train shared AI models.The AI models that power RevnIQ are not trained on your organisation's bids, pipelines, or internal data.
  • AI features process your data within our secure infrastructure to generate personalised recommendations and insights solely for your account.
  • Where we use third-party AI providers (such as large language model APIs), we do so under data processing agreements that prohibit those providers from training on your data.

Storage & security

Your data is stored securely within the European Union (Frankfurt, Germany). We implement appropriate technical and organisational measures to protect your data, including:

  • Encryption in transit (TLS) and at rest
  • Access controls — only authorised personnel can access personal data, on a need-to-know basis
  • Regular security reviews and vulnerability assessments

No method of transmission over the internet is completely secure. While we take all reasonable steps to protect your data, we cannot guarantee absolute security.

Retention

We retain your personal data only for as long as necessary to provide our services and comply with legal obligations. Specifically:

  • Active account data is retained for the duration of your subscription
  • After account closure, we retain data for up to 12 months for legal and audit purposes, then securely delete it
  • Financial transaction records may be retained for up to 7 years to comply with UK tax law
  • Anonymised, aggregated analytics data may be retained indefinitely as it cannot identify you

Cookies

We use cookies and similar technologies to operate the platform and understand how it is used. Categories:

  • Essential cookies — required for authentication, security, and core platform functionality. Cannot be disabled.
  • Analytics cookies — help us understand how users navigate the platform so we can improve it. You can opt out via the cookie settings on this site.

Your rights

Under UK GDPR, you have the following rights regarding your personal data:

  • Portability — receive your data in a structured, machine-readable format
  • Object — object to processing based on legitimate interests or for direct marketing
  • Withdraw consent — where processing is based on consent, you can withdraw it at any time

Children

RevnIQ is a business-to-business platform intended for use by organisations and professionals. We do not knowingly collect personal data from individuals under the age of 16. If you believe a minor has provided us with personal data, please contact us and we will delete it promptly.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will notify you by email or via a notice in the platform. The "Last updated" date at the top of this page reflects when it was last revised. Continued use of RevnIQ after changes are posted constitutes your acceptance of the updated policy.
